This Privacy Policy describes how we collect, use, and share information when you use our WhatsApp-integrated CRM and AI-powered voice agent services. By using our services, you agree to the collection and use of information in accordance with this policy.

2. AI Disclosure & Automated Processing

Our platform utilizes advanced Artificial Intelligence (AI) technologies, including Large Language Models (LLMs) and Real-time Voice Processing (OpenAI Realtime API), to automate interactions on WhatsApp. • AI Interactions: When users interact with a business through our platform via text or voice call, they are interacting with an AI-powered system. • Transparency: We ensure that AI use is disclosed where appropriate, and we maintain high standards of accuracy and ethical processing.

3. Information We Collect

We collect and process information necessary to provide a functional CRM and AI agent experience: • WhatsApp Identity: Phone numbers, WhatsApp display names, and profile information provided via the Meta WhatsApp Cloud API. • Communication Content: Full transcripts of text messages, media files (images, audio, documents, video), and voice call audio streams. • Interaction Metadata: Timestamps, message delivery status (sent/delivered/read), call duration, and frequency of contact. • CRM Data: Lead qualification scores, status updates, custom tags, and internal notes added by business users.

4. How We Use Your Information

The data collected is used strictly for business purposes: • Service Delivery: Powering the AI bot to answer queries, qualify leads, and book appointments 24/7. • Multi-Tenant Isolation: Ensuring each business's data is cryptographically isolated and accessible only to authorized users of that specific business account. • Productivity: Providing real-time dashboard analytics, KPI tracking, and lead pipeline management. • Human Handoff: Facilitating the transition from AI automation to human agent intervention when requested or detected.

5. Data Usage & AI Training (Compliance 2026)

In strict accordance with Meta's 2026 AI-Assisted Business Messaging Guidelines and global privacy standards: • No General Model Training: We do NOT use WhatsApp conversation data, customer profiles, or voice recordings to train, develop, or improve general-purpose AI models (such as those provided by OpenAI or Meta). • Private Fine-Tuning: Any optimization of AI behavior is restricted to the specific business tenant and is never shared or aggregated with other businesses. • No Behavioral Tracking: We do not track users across different businesses or build cross-platform behavioral profiles.

6. Data Sharing & Service Providers

We share data only with trusted infrastructure providers required to deliver our services, all of whom are bound by strict confidentiality agreements: • Meta Platforms, Inc.: For WhatsApp API connectivity and calling infrastructure. • OpenAI, Inc.: For secure, enterprise-grade AI processing (text and voice). • Supabase / PostgreSQL: For secure data hosting and encrypted storage. • Cloudflare: For secure media storage (R2) and network-level security. We NEVER sell, rent, or trade personal data to advertisers or third-party marketing networks.

7. User Rights, Opt-Out & Human Handoff

We respect user autonomy and provide the following controls: • Human Intervention: Users can request to speak to a human representative at any point during an AI conversation. • Opt-Out (STOP): Users can instantly stop all automated communications by replying with the word 'STOP' on WhatsApp. • Data Access: Users may request access to, correction of, or deletion of their personal information by contacting the business owner or R&B Group support.

8. Data Security

We implement robust technical and organizational measures to protect data, including end-to-end encryption for WhatsApp messages (where provided by Meta), JWT-based authentication for CRM access, and strict RLS (Row Level Security) policies at the database level to ensure multi-tenant isolation.
